Who it's for: whoever sets up or takes over the Client Portal at your agency. Most steps need the Owner role. Two need a Bullhorn admin.
Product: Client Portal · Where: Settings in Candidately, and Admin in Bullhorn
Taking over the Client Portal? Start here. Work through the steps in order and you'll know every setting that decides what your clients see and what goes back to Bullhorn.
Each step links to the article with the details.
Where most of the setup happens
Steps 1, 3 and 4 are all in Settings → Integrations → Bullhorn.
1. Connect Bullhorn
Connect Bullhorn and switch the integration on. Owner. See Connect Bullhorn to Candidately.
Set up Auto reconnect, so a dropped connection fixes itself. Owner. See How to reconnect Bullhorn or set up Auto reconnect.
Check that your client companies and contacts come in. Owner. See Sync Bullhorn companies and contacts.
2. Add Candidately to your Bullhorn jobs
Add the Candidately tab on jobs. The Owner copies the address, a Bullhorn admin adds the tab, and each recruiter ticks it under LAYOUT. See Add the Candidately tabs in Bullhorn.
Optional: add the tabs on companies and contacts too.
3. Decide what goes back to Bullhorn
Map your stages to Bullhorn submission statuses, and choose what happens to a list when the job closes. Owner. See Map submission stages to Bullhorn statuses.
Choose which client activity becomes a note in Bullhorn. Owner. See Choose which notes go to Bullhorn.
4. Decide how candidates get on a list
Decide when your client sees a candidate, and whether candidates come in from Bullhorn on their own. Owner. See Choose when your client sees a candidate.
Bring Bullhorn fields onto the profile, for example a submission summary or availability. Owner. See Map Bullhorn fields to candidate fields.
Set what every new list starts with: list access, and whether candidates you add by hand start as Draft or Active. See Default settings for new lists.
5. Decide what your client sees
Choose which fields show on a candidate. Owner or Admin. See Choose what clients see on candidate profiles (candidate appearance).
Already format resumes in Bullhorn? Show that file instead. See Show your own formatted resume to clients.
Set your stages, for the whole company or one list. See Change the stages: company default and per list.
Add your logo and colors. See Brand your client portal and lists.
Optional: use your own web address, and send client emails from your own domain. See Use your own web address for the client portal and Send client emails from your own domain.
6. Set up emails and your team
Save the share email you send most as a template. See Create and use email templates.
Set list updates and automatic follow-ups for clients. See Client emails: list updates and automatic follow-ups.
Invite your team and give each person the right role. Owner or Admin. See Invite, change and remove users and Who can do what in the Client Portal.
Recruiters prepare, someone else approves? See Split-desk workflow: Ready and AE Rejected.
7. Test it end to end
Open a test job in Bullhorn and click your Candidately tab.
Create the list and add one candidate. See Create a list from a Bullhorn job and import candidates automatically.
Activate the candidate and share the list with your own private email address.
Open the email and look at the list as your client would. Send a message, request an interview and decline.
Back in Bullhorn, check the submission status and the notes on the candidate.
Good to know
Only Owners see Settings → Integrations. Can't find a Bullhorn setting? Ask an Owner.
On a list connected to a Bullhorn job, activating a candidate or changing a stage updates Bullhorn. Try things on a test job, not a live one.
Stages you add yourself have no row in the status mapping, so they don't change anything in Bullhorn.
Clients are added per list. To give a contact one view of several jobs, share each list with them. They see all of them under All Lists.
Pro tip: Write down your choices for steps 3 to 5 as you go: which status shows a candidate to the client, which appearance you use, which stages you added. The next person to take over starts there.
