Who can do this: Owners set up the automatic import and the status mapping. Anyone who works on lists can activate candidates.
Product: Client Portal · Where: Settings → Integrations → Bullhorn, and the candidates on a list connected to a Bullhorn job
Your client only sees the candidates you're ready to put in front of them. On a list, that means Active candidates. A Draft candidate sits on the list, hidden from your client.
So the question is simple: who sets a candidate Active, and when? Pick one of the two setups below before you share your first list.
The settings involved
Setting | Where | What it decides |
Import trigger | Auto-import of candidates from jobs | The Bullhorn submission statuses that add a candidate to the connected list |
Candidate import status | Auto-import of candidates from jobs | Whether an imported candidate starts as Draft (hidden) or Active (visible) |
Set active | Candidate job submission status mapping | The Bullhorn status a submission gets when you activate the candidate, usually Client Submission |
Candidate upload status | List configuration, or your defaults for new lists | Whether a candidate you add by hand starts as Draft or Active |
Setup 1: your team checks, then the client sees (recommended)
Recruiters submit in Bullhorn as they do today. Each candidate lands on the list as Draft. The person who owns the client checks the profile and activates it. Candidates you turn down never reach your client.
Go to Settings → Integrations → Bullhorn.
Under Auto-import of candidates from jobs, set Import trigger to the status your recruiters use for an internal submission, for example Submitted.
Set Select CV/resume file type to the Bullhorn file type you use for resumes.
Set Candidate import status to Draft.
Under Candidate job submission status mapping, set Set active to Client Submission.
Click Save changes.
The auto-import settings
Candidates submitted in Bullhorn come in as Draft, with the newest resume file attached.
The status mapping
When you activate a candidate, the submission in Bullhorn moves to Client Submission.
Result: a candidate submitted in Bullhorn shows up on the connected list as Draft. Click Review and activate, then Activate. Your client now sees the candidate, and Bullhorn shows Client Submission.
Want your sales team to approve or reject first? Use the split-desk workflow. See Split-desk workflow: Ready and AE Rejected.
Setup 2: Bullhorn decides, no check in Candidately
Your team does the client submission in Bullhorn. The moment a candidate gets that status, your client sees them.
Under Auto-import of candidates from jobs, set Import trigger to Client Submission.
Set Select CV/resume file type.
Set Candidate import status to Active.
Keep Set active mapped to Client Submission, so both directions mean the same step.
Click Save changes.
Result: every candidate you move to Client Submission in Bullhorn is on your client's list straight away. Nobody checks the profile first, so only use this when the resume file is always ready to send as it is.
What stays manual
Sharing the list. You share each list with your client contacts once. See Share a list with a client.
After that, you don't share again. New Active candidates appear on the same list. Contacts subscribed to list updates get an email about them. See Client emails: list updates and automatic follow-ups.
Good to know
The automatic import applies to every list connected to a Bullhorn job, now and in the future. You can't set it per list.
It only runs on lists connected to a Bullhorn job. See Create a list from a Bullhorn job and import candidates automatically.
If several Bullhorn files match the file type, the newest one is used.
Activating a candidate on a connected list changes the submission in Bullhorn. Try your setup on a test job first.
Pro tip: Start with Setup 1. Once you trust the profiles your team prepares, switching to Setup 2 is one change: set Candidate import status to Active.
