Who it's for: anyone who adds candidates to job submission lists.
Each candidate on a job submission list has a status. Only Active candidates are visible to your client.
Status and stage are two different things
The status (Draft, Active, Inactive) decides whether your client can see the candidate at all.
The stage (To review, Interview, Declined and so on) shows where the candidate is in your client's process. See Submission stages explained.
The statuses
Status | Your client sees it | Use it when |
Draft | No | You've added the candidate and want to check the profile first |
Ready | No | The profile is waiting for a colleague's approval (only with the split-desk workflow) |
Active | Yes | The candidate is ready to submit |
Inactive | No | The candidate is placed, withdrawn or no longer available. Messages and requests are kept |
AE Rejected | No | A colleague turned the profile down (only with the split-desk workflow) |
The filter buttons above the list (All, Active, Draft, Ready, Inactive, AE Rejected) show how many candidates are in each status.
Make a Draft candidate active
Click Review & Update on the candidate.
Check the profile and change what's needed.
Click Set active. Or click Mark as ready if a colleague should approve it first.
Change an active candidate's status
Click the Active button on the candidate and choose Inactive or Set back to "Draft". With the split-desk workflow you also see Set back to "Ready".
Choose how new candidates arrive
In List configuration > General, under Candidate upload status:
Draft (need to be activated): new candidates stay hidden until you set them active.
Active (immediately visible to clients): new candidates go live straight away, also on a list you've already shared.
The company default for new lists is under Settings > General settings. See Default settings for new lists.
Good to know
Setting a candidate inactive is the safe way to take them off a list. Deleting removes their messages and CV requests for good.
If some client contacts on the list have unsubscribed from list updates, Candidately warns you when you activate a candidate: they won't get an email about it.
On a list connected to a Bullhorn job, status changes update the submission status in Bullhorn, following your status mapping (for example Set active becomes Client Submission).
Ready and AE Rejected only appear when your company uses the split-desk workflow. See Split-desk workflow: Ready and AE Rejected.
