Map submission stages to Bullhorn statuses

Decide which Bullhorn job submission status a candidate gets when you change their status or stage on a job submission list, and what Bullhorn changes come back to Candidately.

Who can do this: Owners, in Settings > Integrations > Bullhorn. Admins and Members don't see this page.

Decide which Bullhorn job submission status a candidate gets when you change their status or stage on a job submission list, and what Bullhorn changes come back to Candidately.

This works for lists connected to a Bullhorn job. See Create a list from a Bullhorn job and import candidates automatically.

Candidately to Bullhorn

  1. Go to Settings > Integrations > Bullhorn.

  2. Scroll to Candidate job submission status mapping.

  3. For each Candidately status or stage, pick the Bullhorn status it should set.

  4. Under Add Bullhorn note, choose for each row: Always add note or Don't add note. Interview also has If times are provided, Declined and AE Rejected have If reason is provided.

  5. Click Save.

Ready and AE Rejected are only used with the split-desk workflow. See Split-desk workflow: Ready and AE Rejected.

Bullhorn to Candidately

On the same page you can choose:

  • Bullhorn submission statuses that set the candidate Inactive on the list, for example when the candidate is placed elsewhere or not interested.

  • Global candidate statuses that set the candidate inactive.

  • Job status mapping: what happens to connected lists when the job is closed or deleted in Bullhorn: List status: Paused or List status: Archived. If you leave it empty, the list stays as it is. Reopening the job doesn't restore the list: do that yourself from Archived lists.

What happens next

When you set a candidate active or move them to a mapped stage on a connected list, Candidately updates the candidate's most recent submission on that job in Bullhorn. In our test, Interview showed as Interview Scheduled and Declined as Client Rejected in Bullhorn.

The client can also move a candidate to Interview or Declined from their side. That updates Bullhorn the same way.

Good to know

  • Stages you added yourself, such as 2nd Interview, Offer or Hired, have no row in the mapping. Moving a candidate there doesn't change the status in Bullhorn. Update Bullhorn yourself for those.

  • To review, CV requested and CV revealed have no row in the mapping either.

  • Only lists connected to a Bullhorn job write to Bullhorn. On other lists nothing changes in Bullhorn.

  • The candidate needs a Bullhorn ID (shown as "BH ID" on the card) and an existing submission on the connected job.

  • Notes: the status change is saved in the job submission's history in Bullhorn, with who made the change and any details (proposed interview times, decline reason). If the row says Always add note, it can also show as a note on the candidate, if your Bullhorn creates notes from submission status changes. See Choose which notes go to Bullhorn.

Troubleshooting

The status didn't change in Bullhorn. Check that the list shows the Bullhorn icon ("Connected to job in Bullhorn"), that the stage has a row in the mapping, and that your Bullhorn connection works. See How to reconnect Bullhorn or set up Auto reconnect.
