Choose which notes go to Bullhorn

Keep Bullhorn up to date with what happens on your job submission lists: shares, messages and client emails can become notes on the candidate.

Who can do this: Owners, in Settings > Integrations > Bullhorn. Admins and Members don't see this page.

Notes for list activity

  1. Go to Settings > Integrations > Bullhorn and scroll to Note sync settings.

  2. For each event, choose whether Candidately adds a note:

    • List shared: Add note to Bullhorn

    • Messages on messenger sent/received: Add note to Bullhorn

    • Clients subscribed to list updates (candidate added/removed emails sent): Add note to Bullhorn

    • Automatic follow-up emails sent: Add note to Bullhorn

  3. Click Save.

Notes for status and stage changes

Each row in Candidate job submission status mapping has its own option under Add Bullhorn note:

  • Always add note

  • Don't add note

  • If times are provided (Interview): only when the client proposed interview times

  • If reason is provided (Declined, AE Rejected): only when a reason was given

The status change is saved in the job submission's history in Bullhorn, with who made it and the details. With a note option on, it can also show as a note on the candidate, if your Bullhorn creates notes from submission status changes. If you don't see these notes, ask your Bullhorn admin or contact us in the chat. See Map submission stages to Bullhorn statuses.

What the note looks like

The note is titled "Candidately Message" and sits on the candidate, linked to the client contact and to the connected job. It says what happened, for example "This candidate's CV was requested." or "An interview was requested for this candidate. Proposed interview times: …", with a "See in Candidately" link.

Good to know

  • On a job submission list, every client contact sees the others' messages. Each message can become a note, so a busy list can create many notes.

  • Out-of-office replies don't create notes.
