Short answers to the questions recruiters ask most about job submission lists. Each answer links to the full article.
Are candidates notified when I share them with a client?
Are candidates notified when I share them with a client?
No. Candidately doesn't email candidates when you add them to a list or share the list. Only you, your colleagues and your client contacts get emails.
Can I change candidates without emailing my client?
Can I change candidates without emailing my client?
Yes. You have a few options:
Moving a candidate to another stage: when asked "Do you want to notify your client?", click Proceed without email.
Adding candidates quietly: add them as Draft. Clients don't see Draft candidates until you set them active. The list setting is Candidate upload status.
Turning off added/removed emails for one list: go to List configuration > Client notifications and switch off Notify when a candidate is added or removed.
For one client contact: open Share your list, click the bell next to their name and choose Unsubscribe.
How do I mark a candidate as hired?
How do I mark a candidate as hired?
Add a Hired stage and move the candidate there. Owners and Admins add stages for all new lists in Settings > List settings > Submission stages; you can also add one to a single list in List configuration > Submission stages > Add new stage. See Change the stages: company default and per list.
If you use Bullhorn: stages you add yourself don't change the status in Bullhorn. Record the placement in Bullhorn as usual.
Does closing a job in Bullhorn pause the list?
Does closing a job in Bullhorn pause the list?
Only if your company has set it up. If the list is connected to the Bullhorn job and an Owner has picked a list status under Job status mapping in Settings > Integrations > Bullhorn, closing or deleting the job sets the list to Paused or Archived. Clients can't open a paused or archived list. Without that setting, the list stays as it is. Reopening the job doesn't bring the list back: restore it from Archived lists (it comes back as Paused).
I added candidates to my Bullhorn tearsheet, but they're not on my list. Why?
I added candidates to my Bullhorn tearsheet, but they're not on my list. Why?
Candidates only move from a Bullhorn tearsheet to a list if the list has an automation with the trigger Candidate added to tearsheet. The automation only picks up candidates you add to the tearsheet after you created it. Candidates who were already on the tearsheet aren't imported: add those by hand.
Also check the automation is switched on, and the status it imports with. Candidates imported as Draft are on your list but hidden from your client until you set them active.
My list shows the wrong client. How do I fix it?
My list shows the wrong client. How do I fix it?
The client name in the list header comes from the client contacts you shared the list with. There's no client field when you create a list.
Open the list and click Share your list.
Next to the wrong contact, click ⋮ > Remove recipient from list.
Share the list with the right contact.
If the contact itself is filed under the wrong company, fix it with ⋮ > Edit contact, or under End clients. The header shows the companies of everyone with access. It updates as soon as you remove the contact. Note that people who open your link are filed under a company by their email domain, which can add a company to the header.
If the header still shows the wrong client, send us a message in the chat with the list name.
