Activate, pause, archive or delete a list

A list is either live for your client or not. Activate it to share it, pause it to take it offline for a while, archive it when the job is done, and delete it only if you want it gone for good.

Who can do this: Owners and Admins on any list. Members on lists they own or are assigned to, and on lists owned by someone in their team. This includes permanently deleting an archived list.

Activate a list

Click Set active at the top of the list. You can only share a list once it's active.

Pause a list

Click Pause at the top of the list. Clients can't open it until you click Set active again.

Archive a list

  1. Click More > Archive list.

  2. Confirm with Yes, archive.

Your clients can no longer open the list. All candidates, messages and activity stay.

Restore an archived list

  1. Click Archived lists at the bottom of the list panel.

  2. Find the list (use My archived lists to filter) and click the restore icon.

You can also open the archived list and click Restore in the bar at the top.

A restored list comes back as Paused. Click Set active when you want your client to see it again.

Delete a list

You can only delete a list from Archived lists.

  1. Archive the list first.

  2. In Archived lists, click the delete icon (Permanently delete) next to it, then Yes, delete permanently.

This can't be undone. It removes the list with all its candidates, messages and activity. Candidate profiles in your candidate database aren't deleted.

Good to know

  • A client opening a draft, paused or archived list sees "The list you're trying to access is not available." The list's assignees get an email that they tried to open it.

  • Not sure? Archive instead of deleting. You can restore an archived list at any time.

  • If the list is connected to a Bullhorn job, closing the job in Bullhorn can pause or archive the list for you. Owners choose which under Job status mapping in Settings > Integrations > Bullhorn. Reopening the job doesn't bring the list back: restore it yourself. See Map submission stages to Bullhorn statuses.
