Pause, close, archive or delete a job

Take a job off your board for a while or for good. Pausing, closing and archiving keep applicants and history.

Written by Jan Alexander Jedlinski

Who can do this: Owners, Admins and Members.

Open the job to change its state. The buttons are in the job's header. None of these states removes applicants or history.

Job states

Live

On the public board. You get here with Publish.

Paused

Not on the board. Pause on a live job. Set active puts it back.

Closed

Not on the board. Close on a live job, when it's filled or canceled. Publish puts it back.

Archived

Not on the board. Archive on a live, paused or closed job, when you're done with it. Unarchive brings it back as Closed, Reopen as a draft.

Paused and closed jobs don't take applications, and they drop out of your XML feed.

Pause, close or archive a job

  1. Open the job.

  2. Click Pause, Close or Archive.

Job page action buttons: View live job, Edit, Pause, Close and Archive
  3. For Close and Archive, confirm in the dialog.

Close job? dialog: The job will be removed from the public board, with Cancel and Close buttons

The job leaves the public board. After Close or Archive you get a few seconds to click Undo.

Delete a job

You can delete a draft, or an archived job with no applications. To delete an archived job that has applications, delete them first: on the Applications tab, click Delete all. Live, paused and closed jobs have no Delete. Archive them first.

  1. Open the draft or archived job.

  2. Click Delete. On a draft it sits after Edit and Publish. On an archived job it sits after Edit, Unarchive and Reopen.

  3. In Delete draft? or Delete job?, click Delete draft or Delete job.

You see Draft deleted or Job deleted and you're back on the jobs list.

Important: Deleting can't be undone, and an archived job's history is deleted with it. Jobs with applications can't be deleted, so the button is grayed out. Keep them archived, or delete their applications first.

Keep a role visible

On a live job, open the Job details tab. The Job board panel has two settings:

Job sidebar: Live status with Pause and Edit job, Job board card with Refresh to top and Auto-deactivate on date toggle
  • Refresh to top: click Refresh to move the job back to the top of the board.

  • Auto-deactivate on date: pick a date, and the job is paused on that date.

Jobs linked to Bullhorn

Linked jobs can also change state on their own when the job order changes, through Auto-publish jobs, Auto-pause jobs and Auto-close and archive jobs in your Bullhorn settings.

  • Reopened in Bullhorn: the job goes back through Auto-publish. This also applies to jobs you closed or paused by hand. Archived jobs never reopen.

  • Deleted in Bullhorn: the job leaves your board. It's archived or closed, depending on your settings.

See what happened to a job

The job's Audit tab lists every status change, who made it and when.

Good to know

  • Drafts can't be archived, only deleted.

  • Close wins over pause, and pause wins over publish, when Bullhorn conditions overlap.

  • Jobs paused on their date show "has automatically deactivated the job" on the Audit tab.

Troubleshooting

A job I paused or closed went live again

It's linked to Bullhorn and the job order matched your Auto-publish conditions. Change the job order in Bullhorn, or archive the job.

The Delete button is grayed out

The job has applications. Keep it archived, or delete its applications first with Delete all on the Applications tab.
