Who can do this: Owners. Only Owners can change the Job Board settings in the Bullhorn integration. Connecting Bullhorn for the first time also needs a Bullhorn admin login.
Once Bullhorn is connected, your board can import jobs from Bullhorn job orders and send applicants back as submissions. Candidately never creates or changes job orders in Bullhorn.
Check the connection
Most agencies already have Bullhorn connected from another Candidately product.
Go to Settings > Integrations > Bullhorn.
At the top, check that you see Connection successful and that Activate integration is switched on.
Not connected yet? Click Sign in with Bullhorn, log in with a Bullhorn admin user, then switch on Activate integration.
Add your Bullhorn login under Auto reconnect, so the connection comes back on its own if it ever drops.
Job settings
Scroll down to Job Board settings. The Jobs settings decide how job orders become jobs on your board.
Auto-import jobs | Creates a draft job when an open job order matches a rule. Rules are checked top to bottom, and the first match decides the board. A new rule has no conditions, and a rule without conditions imports every open job order that no rule above it matched, so add at least one. Keep it as the last rule: Candidately holds a rule without conditions at the bottom and won't save if it isn't last. To bring in job orders that are already open, save, then click Start sync in the window that opens, or later Import existing job orders. |
Auto-publish jobs | Publishes the linked job when the job order matches your conditions. A job that misses a required field, like a description, stays a draft. |
Auto-pause jobs | Pauses the linked job when the job order matches your conditions. Pause wins over publish. |
Auto-close and archive jobs | Closes the linked job when the job order matches your conditions. Live and paused jobs are closed, drafts are archived. A new account has no close conditions, so jobs never close on their own until you add one. Start with Open/Closed (isOpen) is False. Close wins over pause. |
Keep linked jobs up to date | Off on a new account. Set it to yes: when a mapped field changes on the job order, the job is updated. The next change in Bullhorn replaces edits made in Candidately. |
Job field mapping | Which Bullhorn field fills which job field. It starts empty, and imports still fill the standard fields. See Map Bullhorn job fields to your jobs. |
An auto-import rule: pick a board, then add conditions, like Status is Accepting Candidates. Each condition picks a Bullhorn field and a test: is any of, is none of, is present (has any value) or is blank (empty). Yes/no fields use is True or False.
When you add a second condition, the two are joined with AND: the job order must match both. Click AND to switch to OR: one match is enough. For closing jobs you almost always want OR. Click Add group for a nested set, like Status is Closed OR (Status is On Hold AND Open/Closed is False). A group is labeled Group · all of these or Group · any of these.
Imported jobs start as drafts until Auto-publish or someone on your team publishes them. Changes in Bullhorn are picked up within a few minutes, the next time the job order changes.
Recommended setup: follow Bullhorn's publishing status
Most agencies already decide in Bullhorn which job orders go public, with the job order's publishing status. Use the same decision here, so your board follows Bullhorn without anyone touching Candidately. On a new account all of these settings are off, so set them up in this order. The yes/no settings on this page are radio buttons.
Have these ready:
The Bullhorn job order statuses that mean a job is open (like Accepting Candidates) and the ones that mean it's done (like Filled or Lost).
The Publishing Status (isPublic) values that mean a job order is public.
Whether jobs On Hold in Bullhorn should be paused on your board.
A Bullhorn admin login, if Bullhorn isn't connected yet.
Under Auto-import jobs, select yes and click Add rule.
Pick your board, click Add condition and choose Status is any of Accepting Candidates (use your own open statuses).
Under Auto-publish jobs, click Add condition, choose the field Publishing Status (isPublic), keep is any of, and pick Published - Submitted.
The field's name and values come from your Bullhorn, so the labels can differ a little. Look for (isPublic). If your Bullhorn also lists a published or approved value you use, pick that too.
Under Auto-close and archive jobs, click Add condition and choose Open/Closed (isOpen) is False. Add a second condition, click AND to switch it to OR, and choose Status is any of your closed statuses, like Filled or Lost.
Optional: under Auto-pause jobs, add a condition such as Status is any of On Hold.
Set Keep linked jobs up to date to yes.
Under Applicants, set Auto push to yes.
Click Save changes. A window offers to sync now: keep Jobs ticked and click Start sync. Open job orders that match your rule arrive as drafts within a few minutes, and the ones marked published go live. Real-time updates from Bullhorn wait until the sync is done.
From then on, a recruiter sets a job order to published in Bullhorn, and it goes live on your board a few minutes later. With pause and close conditions in place, the board follows Bullhorn in both directions.
When a job order is reopened or deleted
Reopened in Bullhorn: once the close conditions no longer match, the job goes back through Auto-publish. It goes live only if the Auto-publish conditions match and the Auto-pause conditions don't. This also applies to jobs you closed or paused by hand. Archived jobs never reopen.
Deleted in Bullhorn: the job always leaves your board. A job order is deleted > Archive the job decides how: yes archives it, no closes it.
Applicant settings
The Applicants settings decide how applicants go back to Bullhorn.
Auto push | Sends each confirmed applicant to Bullhorn on its own, as a candidate with a submission on the job order. |
Default submission status | Leave it empty and applicants arrive as web responses on the job order (Bullhorn's status New Lead), which is what most agencies want. Pick a status only if applicants should skip the web responses. The list shows your own Bullhorn submission statuses. |
Updates to existing candidates | What may change when the applicant is already in Bullhorn: follow each field's setting (recommended), only fill empty fields, or never update. |
Owner overwrite rule | Which existing Bullhorn candidates get their owner replaced by the job's recruiter, when an application form maps the owner with Always overwrite. Pick Replace every owner except the users below (the default) or Replace the owner only when it is one of the users below, then add Bullhorn users. New candidates always get the recruiter. |
Application source | Maps the utm_source tag on a job ad link to a source in Bullhorn, for the submission and for new candidates. A tag without a rule uses the Tag without a rule row, and the No UTM tag row sets the source for applicants who came without one. If a row is empty, the source is "Candidately". |
Click Save changes when you're done. One Save changes at the bottom saves every section on the page. Which form answers go to which Bullhorn field is set on each application form, in its Bullhorn field mapping section.
