Review and manage applicants

Find new applicants, review their resume and answers, change their status, and get an email for each new application.

Written by Jan Alexander Jedlinski

Who can do this: Owners, Admins and Members. New-application emails: each recruiter turns them on or off for themselves.

Every confirmed application lands on its job in Candidately. You see it there, review the candidate and move them through your statuses.

See new activity

The Job Board page shows Live jobs, Applicants, New this week and Views at the top. Views counts board and job page views from the last 7 days, with unique visitors and the change against the 7 days before.

In the job list, Views (7d) shows each job's views, and a new badge marks jobs with fresh applicants. Click a column heading to sort.

A Quiet badge marks a job that's been live for at least 7 days and has more than 50 views in the last 7 days, but no applications. Check its title, description and application form.

On a job, the line next to the tabs shows the last 7 days: views, applications and conversion, plus how long the job has been live. The Applications tab shows the number of applications.

On the Job details tab, Performance breaks it down for 7 days, 30 days or All time: Views, Unique visitors, Avg time on page, Applications and Conversion. It also has a views chart and a Funnel from Viewed to Apply started, Submitted and Confirmed.

The Activity panel in the sidebar still has the counts.

Get an email for new applications

  1. Go to Your Account > Notifications > Job board.

  2. Check that New applications is switched on. Switch it off if you don't want these emails.

  3. Click Save changes.

You get one email per confirmed application on jobs you own or are assigned to. On jobs imported from Bullhorn, the owner and assigned users come from the job order, matched to Candidately users by their Bullhorn user or email. If no one matches, the job has no owner and no one gets the email. Each person switches this on for themselves. An Owner can't turn it on for other users, so ask each recruiter to check it. If you don't get these emails, check this setting first.

  • The email shows the candidate's name, current title and company, contact details, the job and the board.

  • When the resume could be read, it adds highlights: summary, location, experience, skills, recent roles and education. Otherwise you get a short version.

  • View application in the email opens the application.

  • It arrives within about 20 minutes, usually much sooner.

Open the applications inbox

  1. Click Job boards in the left menu and open the job.

  2. Open the Applications tab.

Job Applications tab: search, filters All, New, In review, Submitted to client, Hired, Rejected, and applicant list
  3. Click a status chip like New or In review to filter the list. Each chip shows a count.

To find someone, type in Search name or email. Sort orders the list by Newest applied, Oldest applied, Name or Status.

Review an applicant

  1. Click an applicant. You see their details and source, the Original CV to view or download, the profile read from their resume, their answers and their consents.

  2. Use the arrows at the top right to go to the next applicant.

Change an applicant's status

  1. Open the Status menu and pick the new status.

Applicant detail with Status changed to In review and note Candidate sees: In review

You see Status updated. Candidate sees shows the wording the candidate gets in their portal. The candidate isn't emailed; they see the change when they sign in.

Delete an application

Use Delete on the application. You get a few seconds to click Undo.

This removes only the application. The candidate stays in Candidately, and nothing changes in Bullhorn.

To clear a whole job, click Delete all on the Applications tab and confirm in Delete all applications?. It deletes every application on the job, whatever filter is on. You get 10 seconds to click Undo.

A candidate whose application you deleted can apply to the job again straight away.

Good to know

  • Each applicant is also saved as a candidate in Candidately, with a profile read from their resume.

  • Links you share with a utm_source tag, for example on a job ad, are recorded as the applicant's source.

  • No new-application email for applications that aren't confirmed yet, or for candidates already in the job's pipeline.

  • Jobs without an owner or assignee in Candidately send no new-application email.

  • Statuses are the same for all your boards and jobs.

  • View numbers start from the day tracking began on your board, shown as Tracked since on the chart. Drafts have no performance numbers.

Troubleshooting

A candidate applied, but you don't see the application

They haven't confirmed it yet. Ask them to check spam for the confirmation email. The link is valid for 72 hours, and unconfirmed applications are deleted after 30 days.

No new-application email

Go to Your Account > Notifications > Job board, check that New applications is on, and click Save changes. Also check that you're the job owner or an assignee, and that the candidate confirmed their email.

The applicant isn't in Bullhorn

Still stuck? Send us a message in the chat with the job title and a screenshot of what you see.
