How candidates apply for a job

What candidates go through when they apply: the form, the confirmation email, and what they see once they've applied.

Written by Jan Alexander Jedlinski

Who can do this: Any candidate. Applying needs no account. Anyone on your team can try it on one of your own live jobs.

Applying takes a couple of minutes. The candidate fills in your application form, then confirms by email, and only then does the application reach you.

Fill in the application

Prefer to click through it? Follow the interactive tour: it takes about a minute.

  1. The candidate opens the job on your public board and clicks Apply now. On a phone, Apply now stays at the bottom of the screen while they read.

Public job page for Senior Project Manager: category, Full-time, Onsite, Apply now and Ask AI buttons, Compensation card
  2. They upload a resume (PDF, DOC or DOCX, up to 10 MB). Or they use the LinkedIn profile tab to upload the PDF of their LinkedIn profile.

  3. They answer your questions. Every form asks for first name, last name, email and a resume, plus the questions you added.

  4. They tick the two consent boxes: your terms and privacy policy, and data processing.

  5. They click Submit application. If something's missing, a box at the top lists what to fix.

Confirm by email

An application only reaches you once the candidate confirms it.

  1. The candidate sees We sent a confirmation link, with buttons to open Gmail or Outlook.

Applicant page after submitting: We sent a confirmation link, Open Gmail and Open Outlook buttons, What happens next steps
  2. In the email, they click Confirm my application. The email carries your logo and agency name, and the link is valid for 72 hours.

Confirmation email to the applicant: Confirm your application with Confirm my application button, link expires in 72 hours
  3. They see You're all set, application confirmed.

Applicant page after confirming: You're all set, application confirmed, with View my applications and Back to job board

The application now shows on the job's Applications tab, and the job's owner and assignees get a new-application email, unless they've turned it off. With Auto push on, the applicant also goes to Bullhorn. The candidate is signed in to their applications at the same time, without a password.

Note: A candidate who's already signed in doesn't need to confirm again.

When a candidate has already applied

Signed-in candidates see which jobs they've applied to. On the board, the job card says Applied with the current status. On the job page, You applied on replaces Apply now, with a link to the application.

Public job page after applying: You applied on Oct 12, 2026, status In review, Your application card with View application

Without signing in, the same email address can't apply to the same job again within 24 hours.

Good to know

  • Paused and closed jobs don't take applications.

  • Which form a candidate sees: the job's form first, then the board's, then your company default.

  • The consent box links come from the board's Legal settings.

  • Applications that are never confirmed are deleted after 30 days.

  • Not ready to apply? Candidates can save the job with the bookmark button next to Apply now.

Troubleshooting

A candidate applied, but you don't see the application

They haven't confirmed it yet. Ask them to check their spam folder for the confirmation email.

The confirmation link expired

The link is valid for 72 hours. On the page the expired link opens, the candidate can click Resend confirmation email, or apply again.

Still stuck? Send us a message in the chat with the job title and a screenshot of what the candidate sees.
