Set up candidate emails for a job board

Set the sender name and reply-to for the emails candidates get from your board, and send them from your own domain.

Written by Jan Alexander Jedlinski

Who can do this: Owners and Admins.

Before you start: sending from your own address needs your IT team to add DNS records for your domain.

Candidates get emails from your board to confirm their application and to sign in. You set the sender name and reply-to address per board, and you can send from your own domain.

Emails candidates get

  • Confirmation email: after a candidate applies, the email asks them to click Confirm my application. The link is valid for 72 hours. Their application only reaches you once they confirm.

  • Sign-in email: when a candidate clicks Sign in on your board, they get a link to their applications. It works once and expires after 30 minutes.

The emails carry your logo and agency name. Changing an applicant's status doesn't email the candidate; they see it when they sign in.

Set the sender name and reply-to

  1. Go to Settings > Jobs > Job boards and open your board.

  2. Under Candidate emails, enter the Sender name. It's the name candidates see in their inbox, and it defaults to your agency name. The text of the email always uses the agency name from the theme editor.

  3. Optional: enter a Reply-to (optional) address. Candidate replies go there. Leave it empty and replies go to the address the email was sent from.

  4. Click Save changes.

  5. Click Send test email.

You see Test email sent. Check your inbox. A sample arrives at your own email address. It uses a sample job called "Sales Manager". Until your own sending domain is set up, emails go out from a Candidately address, with your sender name on them.

Send from your own address

This is a separate setup from your board's web address, and it's worth doing too. Emails from your own domain, like [email protected], look familiar to candidates and are less likely to land in spam.

  1. Pick the domain. Tell us in the chat which domain the emails should come from, usually your main one, like youragency.com.

  2. We send you the DNS records. They let Candidately send email for that domain.

  3. Your IT team adds them at your DNS provider, exactly as we sent them. Changes can take up to 48 hours to spread.

  4. Tell us when the records are in. We check them and confirm when the domain is ready to send.

  5. Choose the address on your board. Under Candidate emails, a new Sender address field appears. Type the first part, for example jobs, and pick your domain from Select a domain.

  6. Click Save changes.

  7. Click Send test email to check.

Candidates now get your board's emails from your own address.

Note: Fill in both parts of the sender address or leave both empty. If you leave them empty, emails keep going out from the Candidately address.

Troubleshooting

Emails still come from the Candidately address

The Sender address field only appears once your sending domain is verified. After that, fill in both parts, save, and click Send test email to check.

A candidate didn't get the confirmation email

Ask them to check their spam folder.

A candidate says the confirmation link expired

The link is valid for 72 hours. They can ask for a new one from the page the expired link opens, or apply again.

A candidate can't sign in

Sign-in links work once and expire after 30 minutes. Ask them to click Sign in on your board again and use the newest email.

Send test email is grayed out

You have unsaved changes. Click Save changes first.

Still stuck? Send us a message in the chat with the domain you send from and a screenshot of your Candidate emails settings.
