Send client emails from your own domain

Once we verify your domain, emails to your clients come from each recruiter's own address, like [email protected], instead of [email protected].

Who it's for: Owners and Admins. We switch it on for you. There's no setting to change in Candidately.

Once we verify your domain, emails to your clients come from each recruiter's own address, like [email protected], instead of [email protected].

Before you start: your IT team needs to add DNS records for your domain.

Which emails change

With a verified domain, these emails come from the recruiter's own address:

  • The email you send when you share a list

  • Automatic follow-ups

  • List update emails (candidates added or removed). These come from the list owner.

  • The email when a CV is revealed. This also comes from the list owner.

  • Messages you send a client through the Messenger

The sender name shows as "Jane Doe via the [your brand] portal". Your brand name comes from the list's branding. When a client replies, the reply goes to the recruiter's own address.

Two emails always come from [email protected]:

  • Login links clients use to open the client portal

  • A list that a client forwards to a colleague

Verify your sending domain

  1. Tell us in the chat which domain to verify. It must be the domain in your recruiters' email addresses, like youragency.com.

  2. We send you the DNS records. They let Candidately send email for that domain.

  3. Your IT team adds them at your DNS provider, exactly as we sent them. Changes can take up to 48 hours to spread.

  4. Tell us when the records are in. We check them, turn the domain on as a sender and confirm in the chat.

Expected result

The next list you share arrives from your own address, for example "Jane Doe via the Your Agency portal <[email protected]>".

Good to know

  • Only recruiters whose email is on the exact verified domain send from their own address. A recruiter with an address on another domain, like [email protected], still sends from [email protected]. Ask us to verify that domain too.

  • Messages your clients send you through the Messenger reach you from a Candidately Messenger address. That doesn't change.

  • Job boards have their own Sender name and Sender address settings. See Set up candidate emails for a job board.

  • Sending email from your domain and showing lists on your own web address are two separate setups. See Use your own web address for the client portal.

Troubleshooting

  • Emails still come from [email protected]. Check the recruiter's email is on the verified domain. Login links and forwarded lists always use [email protected]. If it's something else, tell us in the chat.

  • The domain isn't verified yet. Check that your IT team added the DNS records exactly as we sent them, then tell us in the chat and we check again.

  • A client didn't get an email. Ask them to check spam and check their bell isn't set to Unsubscribe. See Client Portal troubleshooting.
