Messages, colleagues, shortlists, forwarding and email updates (what your clients see)

How your clients talk to you and to each other, keep their own shortlists, pass the list on, and choose which emails they get.

Who it's for: recruiters who want to know what the client can do.

How your clients talk to you and to each other, keep their own shortlists, pass the list on, and choose which emails they get.

Messages

  • Each candidate has a Messenger on the right of the candidate view. The client writes there, and can tick Send an email copy to myself.

  • Every message also reaches them by email. They can answer by replying to the email.

  • Messages at the top shows all their conversations, one per candidate, across your lists. The side panel shows the list and last interaction, with Open candidate.

Working with colleagues

On a job submission list, all client contacts you shared it with see the same conversations. They see each other's messages, CV requests, interview requests and declines. Good for a hiring manager and an HR contact working on the same job.

Shortlists

Clients can click the heart on a candidate to add them to a shortlist, or create a new one. Shortlist(s) at the top shows their shortlists. They can rename or delete them. You don't see clients' shortlists. Shortlists are personal: colleagues at the client don't see each other's shortlists. One shortlist can hold candidates from different lists.

Forward the list

  1. The client clicks Forward list at the top.

  2. They enter up to 10 email addresses and an optional message, then send.

  3. Each colleague gets an email with a login link to the list.

Forward list form in the client view
  • Forward list isn't there on lists set to Only invited people can access the list (either option). To add someone there, share the list with them yourself.

  • Forwarded colleagues aren't added to the people you shared the list with, so they don't get list update emails or follow-ups. To include them, share the list with them yourself.

  • A client who forwards too often in a short time sees "Lists forwarded too many times. Please try again later."

  • Ask clients to use Forward list instead of forwarding your email. A link from someone else's email doesn't switch accounts: a client who is already logged in stays logged in as themselves.

Email updates

The Subscribed button at the top of the list (Unsubscribed if they've turned emails off) lets clients choose Subscribe to list updates or Unsubscribe from list update emails. Only contacts you shared the list with see it. You set the default for each contact. See Client emails: list updates and automatic follow-ups.
