How do I mark a candidate as placed or hired?

Add a Hired stage and move the candidate there, or set them Inactive to hide them from your client.

Written by Jan Alexander Jedlinski

Who can do this: Owners and Admins on any list. Members on lists they own or are assigned to, and on lists owned by someone in their team.

Product: Client Portal

Where: the stage menu on a candidate card

Add your own Hired stage and move the candidate there. Your client sees the same stage on their side.

Is there a Placed or Hired stage?

Not by default. Every job submission list starts with To review, CV requested, CV revealed, Interview and Declined. You add stages such as Offer or Hired yourself. See Submission stages explained.

How do I add a Hired stage to a list?

  1. Open the job submission list and click List configuration.

  2. Click the Submission stages tab.

  3. Click Add new stage. Enter "Hired" as the Label and select a Color and an Icon.

  4. Click Save on the row, then Save changes.

Owners and Admins can add the stage to all new lists in Settings → List settings → Submission stages. See Change the stages: company default and per list.

How do I move the candidate to Hired?

  1. On the candidate card, click the stage menu and select Set to "Hired".

  2. When asked Do you want to notify your client?, click Yes, email client or Proceed without email.

Result: the candidate shows under Hired on your list and on your client's list.

Should I set the candidate Inactive instead?

Use Inactive when the client shouldn't see the candidate anymore, for example when they were placed elsewhere or withdrew. Click the Active button on the candidate and choose Inactive. Messages and requests are kept.

What about Bullhorn?

  • On a list connected to a Bullhorn job, a stage change only updates Bullhorn if the stage is mapped to a Bullhorn status. See Map submission stages to Bullhorn statuses. Otherwise, record the placement in Bullhorn as usual.

  • An Owner can also choose Bullhorn submission statuses that set a candidate Inactive on the list. If your placed status is one of them, recording the placement in Bullhorn sets the candidate Inactive in Candidately.

Pro tip: Your client already knows about the placement? Choose Proceed without email when you move the candidate to Hired.
