Change the stages: company default and per list

Add your own stages, like 2nd Interview, Offer or Hired, for all new job submission lists or for one list only.

Add your own stages, like 2nd Interview, Offer or Hired, for all new job submission lists or for one list only.

You don't need to be an Owner or Admin to add a stage to one list: Members can do it on lists they own or are assigned to, in List configuration > Submission stages. Changing the default for all new lists is for Owners and Admins.

Change the default stages for new lists

Who can do this: Owners and Admins.

  1. Click your avatar and open Settings.

  2. Under List settings, click Submission stages. This page sets the "default stages that are used when new job submission lists are created".

  3. To add a stage, click Add new stage. Enter a Label and pick a Color and an Icon. Preview shows how the stage will look.

  4. To change one of your own stages, hover over it and click Edit, change the label, color or icon, and click Save on that row. To remove it, click the x at the end of the row.

  5. Click Save changes. If you see "Save each stage to continue.", a row is still open: click Save on that row first.

Candidate submission stages table with Label, Color, Icon and Preview, fixed and custom stages

The table marks each stage as fixed or custom. Fixed stages (To review, CV requested, CV revealed, Interview, Declined) are always there. Custom stages are the ones you added.

Fixed stages can't be renamed or deleted. When you hover over one, it says "Fixed stage - not deletable".

If candidates are still in a stage you remove, you're asked to move them first: "You need to reassign 1 candidate to delete this stage". Pick a stage under Reassign candidates to and click Save.

Change the stages on one list

Who can do this: Owners and Admins on any list. Members on lists they own or are assigned to, and on lists owned by someone in their team.

  1. Open the job submission list and click List configuration.

  2. Click the Submission stages tab.

  3. Add a stage with Add new stage, or hover over a custom stage and click Edit or x.

  4. Click Save changes.

What happens next

  • Changes in Settings apply to job submission lists you create from then on. Existing lists keep their own stages.

  • Changes on one list apply to that list only. Your client sees the new stages straight away.

Good to know

  • Pick stage names your client understands. They see the same names and can move candidates into any stage except CV revealed.

  • CV requested and CV revealed only show on lists where CVs need to be requested.

  • With Bullhorn, custom stages don't change the Bullhorn job submission status. Only Interview and Declined do. See Map submission stages to Bullhorn statuses.

  • Stages are only on job submission lists, not on marketing lists.
