Who can do this: everyone can create templates for themselves (Myself only). Owners and Admins can also create, edit and delete templates for Everyone, and set the default.
Save the emails you send when you share a list, so you don't write them each time.
Create a template
Go to Settings > List settings > Email templates.
Click Create new template. Or pick a template and click Duplicate.
Enter a template name, then write the subject and message.
Add placeholders where details change: List URL, List name, the contact's First name, Last name and Email, the client's Company name, and Author first name and Author last name.
Choose Styled email or plain text.
Under Available for, choose Everyone or Myself only. Members can only choose Myself only.
Click Save, then click Preview to check it with dummy data.
Use a template
When you share a list, click Email templates in the share dialog and pick one. You can still change the text before you send. The change doesn't touch the template.
The default template
New companies start with a template called Default (Styled email):
Subject: New candidates for {List name} shared by {Author first name}
Hi {First name}, Please check out the candidates by clicking the following link: {List URL} Best regards, {Author first name}
Owners and Admins can edit it, or pick another template and click Set as default. A default template has to be available for Everyone.
Good to know
Keep List URL in the message, especially in plain text emails. It's the link your client clicks.
If the message has no List URL, the editor warns "List URL missing in message".
Name, email and company placeholders can have a fallback for contacts with missing details, for example "Hi there".
Members can Duplicate a template that's available for everyone and change their own copy.
Delete removes a template for everyone who uses it.
