Attach extra documents to a candidate

Add documents like references, certificates or a portfolio to a candidate with a File Upload field, so your client can open them on the job submission list.

Who can do this: Owners and Admins create the field. Anyone who can edit a candidate can upload files to it.

Add documents like references, certificates or a portfolio to a candidate with a File Upload field, so your client can open them on the job submission list.

Before you start

Documents go in a custom field with the type File Upload. Set it up once, then use it on any candidate whose list uses that candidate appearance.

Create a File Upload field

  1. Click your name at the bottom left, then Settings.

  2. Under Candidate settings, click Field management, then Add new field.

  3. Type the Field title, for example "References". Pick a Custom icon and click Next.

  4. In Field type, pick File Upload.

  5. Set Field visibility to Public so clients can see it. Set Restricted field if the files should stay hidden until the CV is visible. Click Create.

Create a new custom field, step 2, with File Upload picked as Field type

Add the field to the candidate appearance

  1. In Settings > Candidate appearance, click Edit on the appearance your lists use.

  2. On the Candidate profile tab, click a section and tick the field.

  3. Do the same on the Candidate form tab.

  4. Click Save.

Upload documents to a candidate

  1. Open the candidate on the list and click Edit.

  2. Scroll to the File Upload field. It sits in the section you added it to, for example Files.

  3. Click Select file and pick the document. For a candidate from Bullhorn, you can choose Upload a file (from your computer) or Import file from candidate in Bullhorn (from the candidate's Bullhorn record).

  4. To add more documents to the same field, repeat step 3. Remove one with the X next to it.

  5. Click Update candidate.

What your client sees

Each document shows as an extra tab next to Candidate profile and CV / Resume on the candidate's page. The tab is named after the field. When a field holds several files, they're numbered, like "References 1" and "References 2". If there are many tabs, the rest go under More.

Whether clients can download the files or only view them in the browser depends on Allow clients to download candidate files:

If the field is a Restricted field, clients don't see the documents until the candidate's CV is visible to them. Fields set to Internal are never shown to clients.

Good to know

  • Each file can be up to 25 MB. Most common file types work: PDF, Word, text, images, spreadsheets, presentations, audio and video.

  • Empty fields aren't shown to your client.

  • The candidate's own CV doesn't go in a File Upload field. See Replace, add or remove a candidate's CV.

Troubleshooting

  • My client can't see the documents. Check the field is set to Public. If it's a Restricted field, the client sees it once the CV is visible.

  • My client can't download a file. Downloading is off for that list. Turn on Allow clients to download candidate files in List configuration > General.

  • The upload fails. Check the file is under 25 MB.
