Add, rename or hide fields on candidate profiles

Add your own fields, rename existing ones and choose which fields clients see on candidates in your job submission lists.

Written by Jan Alexander Jedlinski

Who can do this: Owners and Admins. Members can't open Field management or Candidate appearance, but they can fill in fields when they edit a candidate.

Add your own fields, rename existing ones and choose which fields clients see on candidates in your job submission lists.

How fields reach your client

Fields are set up once for your company in Field management. A field only shows on a job submission list if it's in the list's Candidate appearance. The candidate appearance decides what your client sees on every candidate in that list. See Choose what clients see on candidate profiles (candidate appearance).

A new field isn't added to any appearance on its own.

Add a field

  1. Click your name at the bottom left, then Settings.

  2. Under Candidate settings, click Field management, then Add new field (top right).

  3. In Field title, type the name your client will see, for example "Notice period". Internal description is optional.

  4. Pick a Custom icon. Your client sees it next to the field. Click Next.

Create a new custom field, step 1, with Field title and Custom icon
  5. Pick a Field type. It starts on Text Single Line. For a link, pick URL.

  6. Set Restricted field and Field visibility (see below), then click Create.

Create a new custom field, step 2, with Field type, Restricted field, Field visibility and Create
  7. You see "Custom field successfully saved".

Add the field to the candidate appearance

  1. In Settings, click Candidate appearance, then Edit on the appearance your lists use.

  2. On the Candidate profile tab, click the section where the field should go, then tick the field in the list on the left.

  3. Open the Candidate form tab and add the field there too.

  4. Click Save.

The Candidate profile tab decides what your client sees. The Candidate form tab decides what you can fill in when you edit a candidate. A field needs to be on both.

Fill in the field

Open the candidate on the list, click Edit, fill in the field and click Update candidate. See Edit a candidate and the AI recruiter note.

Rename a field

  1. In Settings > Field management, hover the field's row and click Edit at the far right, or click the field title.

  2. A default field (like Phone Number, field type Default field) opens Rename default field. A custom field opens Edit custom field.

  3. Type the new name in Field title and click Update field.

To rename a section heading, edit the appearance and change Section name on the Candidate profile tab. Then click Save.

Hide a field from clients

You have three options:

  • Take it off the appearance. Untick it on the Candidate profile tab. Clients on lists with that appearance won't see it.

  • Set it to Internal. In the field's Edit panel, set Field visibility to Internal (only displayed internally). Use Public for fields clients should see.

  • Hide it until the CV is visible. Set Restricted field to "Yes, hide until CV/resume is visible". Use this on lists where clients need to request the CV first. "No, instantly visible" shows it straight away.

Clients see a restricted field once the CV is visible to them: right away on lists where CVs are visible straight away, or once the candidate's CV is revealed. Your team always sees it.

To hide a candidate's phone, email, location or CV on one list, use Candidate data control instead. See Hide or anonymize candidate data.

Good to know

  • Field types: Text Single Line, Long text, URL, Number, Date, Checkbox, Single Select, Multiple Select, File Upload, Rate.

  • You can't change a field's type after you create it. Create a new field instead.

  • On a default field you can change the Field title, the internal description and Restricted field. It has no visibility setting.

  • Empty fields aren't shown to your client.

  • To stop using a custom field, open its Edit custom field panel and click Archive.

  • Changes to fields and appearances apply to every list that uses that appearance.

Troubleshooting

My client can't see a field. Check in this order:

  1. The list uses the appearance you edited (List configuration > General > Candidate appearance).

  2. The field is on the Candidate profile tab of that appearance.

  3. The field has a value on this candidate.

  4. Field visibility is Public.

  5. Restricted field isn't hiding it until the CV is revealed.
