How Candidately keeps your Bullhorn data ready for AI Search

This includes resumes, skills, locations, job history, custom fields, and more.
Candidately handles this through two processes:
Initial Sync → imports your existing Bullhorn candidate database
Live Sync → keeps everything continuously updated as profiles change
Here’s how both work and why they matter.
1️⃣ Initial Sync
Initial Sync (sometimes called a backfill) is the one-time process that brings your entire candidate universe from Bullhorn into Candidately so AI Search has a complete starting point.
✅ What happens during Initial Sync
1. Importing your Bullhorn profiles
We fetch candidate records, resumes, and mapped fields directly from Bullhorn.
2. Transforming the data
Candidately converts each profile into a structured format that our AI can understand.
3. Indexing the profiles
Your candidates are indexed for semantic search, job matching, and fast retrieval.
4. Preparing AI features
As profiles are processed, supporting systems like skill-synonym generation, geocoding, and match-summary caching may also be initialized.
Initial Sync ensures your entire database is available and AI-ready from day one.
2️⃣ Live Sync
While Initial Sync imports your historical candidates, Live Sync keeps everything fresh going forward.
Live Sync makes sure new candidates, updated resumes, and ongoing changes from your team appear in AI Search right away.
✅ How Live Sync works
1. Detecting updates
Changes can come from:
Bullhorn push events or webhooks
Edits your team makes inside Bullhorn
New profiles or updates made directly in Bullhorn
2. Transforming & updating the record
Each updated candidate is re-processed and re-indexed so AI search and match explanations reflect the latest information.
3. Handling deletions
If a candidate is deleted in Bullhorn:
The profile is removed
The AI summary cache is cleared
The candidate will no longer appear in search results
