Update a list automatically from Bullhorn

Keep a list in step with Bullhorn, for example by adding everyone you put on a tearsheet for this client.

Written by Jan Alexander Jedlinski

Who can do this: Owners and Admins on any list. Members on lists they own or are assigned to, and on lists owned by someone in their team. Your company needs Bullhorn connected. Automations are in beta.

Product: Client Portal · Where: List configuration → Automations (Beta)

Keep a job submission list in step with Bullhorn. For example: everyone you put on a tearsheet for this client is added to the list, and set inactive when you take them off.

Have these ready: the Bullhorn tearsheet or candidate field you want to use, and the value that should trigger the automation.

Create an automation

  1. Open the list and click List configuration → Automations (Beta).

  2. Click Create new automation and enter an Automation name. Enter the name first; the trigger menu opens after that.

  3. Under Bullhorn Trigger, choose when it runs:

    • Candidate added to tearsheet: select the tearsheet.

    • Candidate removed from tearsheet: select the tearsheet.

    • Field change on candidate: select the Bullhorn field and enter the value to match.

    • Bullhorn Automation Webhook (Herefish): Candidately gives you a Webhook URL and Data to copy into your Bullhorn Automation (method PUT).

  4. Under Candidately Action, choose what happens:

    • Import candidate: choose the Candidate status they get (Draft, Active or Inactive) and which Bullhorn file type to use as the CV (for example Resume or Formatted Resume; the newest file wins). Import candidate from database (if available) is ticked by default and uses their Candidately profile instead of the Bullhorn resume.

    • Set candidate active

    • Set candidate inactive

    • Delete candidate

  5. Click Save and activate. Or Save as draft to finish later.

An automation for a tearsheet

The trigger is set to a tearsheet and the action imports the candidate to this list.

What happens next

The automation shows in the list with a switch to turn it on or off. When the trigger fires in Bullhorn, the action runs within a few minutes.

Candidates imported as Active are visible to your client straight away. Choose Draft if you want to review them first: a Draft candidate shows a Review & Update button, where you can edit their details and then click Set active (or Mark as ready).

On a list connected to a Bullhorn job, an automation adds the candidate to your list only. It doesn't create a submission on the job in Bullhorn.

Example: a shortlist tearsheet

  • Automation 1: Candidate added to tearsheet "Acme shortlist" → Import candidate, status Draft.

  • Automation 2: Candidate removed from tearsheet "Acme shortlist" → Set candidate inactive.

Good to know

  • Candidate added to tearsheet only reacts to candidates added after you create the automation. Candidates already on the tearsheet aren't imported. Add those by hand.

  • Field change on candidate has no initial sync. It only runs for new candidates, or when the field changes after you set it up.

  • Some actions only work on candidates that another automation imported first. The form tells you when that's the case.

  • Bullhorn Automation webhooks aren't switched on by default in Bullhorn. Ask Bullhorn support to turn them on.

  • You can only test a webhook after you've saved the automation.

  • If the tearsheet is deleted in Bullhorn, you'll see "The selected Tearsheet seems to be deleted. Please select another one."

  • Copy an automation to another list with Duplicate automation to another list.

Pro tip: Import tearsheet candidates as Draft, so you can check each one with Review & Update before your client sees them.
