Split-desk workflow: Ready and AE Rejected

Let a colleague approve candidates before your client sees them. A recruiter marks them Ready, the account manager approves or rejects.

Written by Jan Alexander Jedlinski

Who can do this: Owners and Admins turn the workflow on for the company. After that, anyone who can open the list can mark candidates ready, set them active or reject them.

Product: Client Portal

Where: Settings → General settings, Job submission list tab

Let a colleague approve candidates before your client sees them. A recruiter marks a candidate Ready, and the account manager (AE) sets them active or rejects them.

Turn on the split-desk workflow

  1. Go to Settings → General settings and open the Job submission list tab.

  2. Turn on Enable split-desk workflow.

  3. Choose how colleagues get emails: Notify instantly, or Grouped notifications (by default one email 15 minutes after the last change).

  4. Optional: under AE Rejected reason required/optional, choose Yes, reason required. Under Rename "AE Rejected" status, replace "AE" with your team's word, for example "Manager".

  5. Save your changes.

Split-desk settings

Turn on the workflow, choose how colleagues get emails and, if you like, rename AE Rejected.

Recruiter: mark a candidate ready

  1. Add the candidate. They start as Draft.

  2. Click Review & Update, check the profile, then click Mark as ready.

You see "Set to "Ready". List assignees will be notified to review." The card now shows Ready and Review & Activate. Your client still doesn't see the candidate.

Account manager: approve or reject

Click the Ready button on the candidate and choose:

  • Review & Activate: check the profile and click Set active. Your client can now see the candidate.

  • Set to "AE Rejected": in the dialog, add a Reject reason (optional) and click Yes, reject candidate.

  • Set back to "Draft": send it back to the recruiter without rejecting it.

Rejecting a candidate

Add a reason if you like, then click Yes, reject candidate.

A rejected candidate can be set back with Set back to "Ready" or Set back to "Draft".

Who gets the emails?

Marking a candidate ready or rejecting them sends an email to the colleagues assigned to the candidate on this list (Colleagues receiving notifications in the candidate's participants). These start out as the list's assignees. With Grouped notifications, changes made close together arrive in one email. You don't get an email for changes you make yourself.

Good to know

  • The Ready and AE Rejected filters above the list show who is waiting for review and who was turned down.

  • Status changes show in the list's Activity tab.

  • On a list connected to a Bullhorn job, the submission status follows your mapping. By default Ready maps to Submitted and AE Rejected to Sales Rep Rejected.

Pro tip: If recruiters mark several candidates ready in one go, use Grouped notifications. Changes made close together then arrive in one email.
